Managing the Topics List

This guide describes how to work with labels and filters, as well as how to archive, restore, delete, import, and export Topics.

Labels

Labels help organize the Topics catalog. For example, they can identify an initiative, a responsible user, or an internal group.

Labels do not affect automatic Topic identification.

How to add a label

  1. Select the required active Topic.

  2. Click + Add labels.

  3. Select an existing label or create a new one for this Topic.

Labels cannot be edited in the archived view.

Search and filtering

The search field above the table searches for Topics by name. The list can also be filtered by labels and categorization type.

  • Use Gen AI;

  • Use Rules;

  • Human Only.

All types are selected by default. If at least one type is disabled, the filter is considered active and the order of Topics cannot be changed by dragging.

Filters change only how the list is displayed. They do not change Topic settings.

Archiving a Topic

Archiving stops the Topic from being assigned to new conversations but preserves historical assignments.

  1. Open the Active view.

  2. Find the required Topic.

  3. Click the archive icon.

  4. Confirm the action.

After archiving, the Topic is hidden from regular use and is no longer assigned to new conversations.

Restoring a Topic

  1. Go to the Archived view.

  2. Find the required Topic.

  3. Click the restore icon.

  4. Confirm the action.

After restoration, the system starts assigning the Topic again.

Archived Topics are available only for restoration or deletion. They cannot be edited, moved, or assigned labels.

Deleting a Topic

A Topic must be archived before it can be deleted. If you try to delete an active Topic, a message will indicate that it must first be moved to the archive.

  1. Open the Archived view.

  2. Find the required Topic.

  3. Click the delete action in its row.

  4. Confirm the deletion.

After deletion:

  • the Topic and its settings are deleted;

  • previous assignments in conversations are no longer associated with the Topic name.

Deletion is irreversible. If you only need to stop using a Topic while preserving its history, archive it instead.

Importing Topics

An Excel file in .xlsx format is used for importing.

  1. Open the Topics page.

  2. Click + Import.

  3. Select the .xlsx file.

  4. Click Upload.

If the name of at least one Topic in the file already exists in the workspace, the entire import will be rejected. No Topics will be created, and the conflicting names will appear in the dialog box.

Exporting Topics

  1. Open the Topics page.

  2. Click the Excel export icon.

  3. Wait for the Topics catalog to download.

Only Topics of the Use Gen AI type are included in the export. Use Rules Topics are not included because the export format does not support rule definitions.

Import and export can be used for bulk Topic configuration, transferring Topics between environments, or backing up the catalog.
